Profile: Our client is a premiere cosmetics company with a vision. They offer top of the line anti-aging skin and hair care products to customers all over the world. They are looking for an administrative assistant to work alongside the VP/GM of Canada. Your role will be to assist and support the VP with a multitude of tasks such as creating sales presentations, sales reports expense reports for monthly sales meetings, managing their agenda, coordinating meetings/travel and other related tasks. Work Place: Toronto metropolitan area (possibility of a mix of office and remote work)

  • You will be working closely with the VP/GM
  • Booking calendars
  • Coordinating meetings
  • Drafting emails
  • Manage travelling
  • Creating and sending out mailings
  • Creating PO's
  • Welcoming clients to the office from time to time
  • Proof reading
  • You will be taking care of some of the purchasing
  • Creating expense reports, sales reports and spread sheets for monthly sales meetings
  • Work on PowerPoint presentations with the VP
  • Participate in social committee stuff from time to time

Languages: English (French will be considered an asset)

Education: Post secondary education

Training: In office training

Overnight Travel: Very little overnight travel (Once or twice a year you will be going to the US with the VP)

Years’ of experience: 3 to 5 years in a administrative role

Other requirements:

  • Team player
  • Experience working with Excel, PowerPoint, Outlook and Zoom is a must
  • Great writing skills
  • Can do attitude, positive and energetic
  • Sense of confidentiality
  • Experience using Concur expense management software is a plus
